It is mandatory for any competitor qualified for Class 12 to participate and it will be assumed that all competitors are going forward. Payment of the entry fee to compete in Class 12 must be made to the Secretary’s Office within one hour of the completion of the last test in Class 3. In cases of any withdrawal, official notification will be required in writing at the time of withdrawal and will be forwarded to British Dressage post event for review of the reason for withdrawing. A competitor who does not participate without a legitimate reason as deemed by British Dressage (for example illness or other unforeseen circumstances) will lose their placing and prize money from Class 3. Such cancellation must be received at the Secretary’s Office within one hour of completion of Class 3 after which the Secretary will contact the next in line. If a competitor qualifies two horses for Class 12 they may opt to only enter one into the Freestyle, under these circumstances the cancellation policy is not applied.

Hartpury is situated off the A417 Ledbury to Gloucester Road. The M5 is 15 minutes drive and the M50 is 20mins drive from Hartpury. The event will be signposted.

TERMS OF ENTRY

Entry to and attendance at the NAF Five Star Winter Championships and PetPlan Equine Winter Area Festival Championships is subject to the General Rules and Regulations of the show (as set out in the official schedule), the COVID-19 Policy of the Show (which is available here) and British Dressage Rules (as set out in the British Dressage Members' Handbook available on the British Dressage website). By entering the show you confirm that you have read, understood, accept and agree to comply with the Rules and Regulations of the show, the COVID-19 Policy of the show and the rules of British Dressage. In particular you acknowledge that the Organiser shall not under any circumstances be responsible for any loss, injury, illness or damage to (whether or not foreseeable and howsoever caused), or any theft from, any competitor, any horse or other animal, any vehicle, or any other property whatsoever in the showground, providing that nothing shall exclude or limit the Organiser’s liability for the death of or personal injury to any person caused by its negligence or that of its employees or agents. Furthermore, the Organiser has taken all reasonable precautions to minimise the risk of Covid-19 infection. By attending the show, the Entrant and any Associated Person confirm that they have accepted, and will also take suitable precautions against, risks in relation to potential Covid-19 infection. As a condition to entry and attendance you understand that should you be found to be breaking any protocols, particularly in relation to the measures in place to minimise the risk of spreading Covid-19, you will be asked to leave the showground immediately, your entries will be forfeited and no refund offered.


VACCINATIONS

All horses and ponies at the Show must have a current and valid record of vaccination against Equine Influenza that complies fully with British Dressage Rule 11, including those arriving on site before 01 July.  All vaccination certificates will be checked when horses and ponies arrive at the Show. All horses and ponies must have been vaccinated within the past 6 months and 21 days before arriving at the Show and horses and ponies that have been recently vaccinated must have six clear days after the vaccination before arrival. Horses and ponies without a valid vaccination certificate on arrival will not be allowed to stay at the show.


TIMES

Times will be published on the Entries, Times and Results page from 10.00am on 24 June 2021. Please note that as it is a Championship all dressage times are drawn and cannot be changed.


PRIZES AND PRIZE MONEY

Prize money will be paid to the rider by BACS transfer after the show. Riders must confirm their bank details to the Show Secretary on collecting their sheets. Any prizes awarded must be collected from the Show Secretary prior to departure from the showground. Prizes will not be forwarded after the show.


SPECIAL AWARDS

Eligibility for the Special Awards below must be indicated at point of entry.

BD AMATEUR OWNER/RIDER AWARD: Open to those in classes 1 – 5, 10 – 13, 15, 19 – 22, 26 – 29, 32 & 34 – 36 riding a horse registered in their name, or that of an immediate family member, and who compete in horse sports for recreational purposes only. Integrity caveat: This award is intended to recognise genuine amateur owner/riders. Only declare for this award if you genuinely feel that you are eligible according to the spirit in which this is intended. Eligibility must be stated at the point of entry to qualify for this award. This award is not presented below 10th place in a class. The award may be collected from the Secretary’s Office after each unmounted presentation.

BEST BRITISH BRED AWARD: A rosette will be awarded by The British Bred Sport Horse (BBSH) to the highest placed British bred horse in classes 1 – 5, 10 – 13, 15, 19 – 22, 26 – 29, 32 & 34 – 36. This award is not presented below 10th place in a class. The award may be collected from the Secretary’s Office after each unmounted presentation.

BD YOUTH AWARD: British Dressage are awarding a BD Youth rosette to the highest placed rider under 25 years of age (in that calendar year) in all classes at the Championships including the Area Festival classes (except classes 31, 33, 38 & 39). This award is not presented below 10th place in a class. The award may be collected from the Secretary’s Office after each unmounted presentation.

PETPLAN EQUINE SENIOR HORSE AWARD: Petplan Equine will present a rosette to the highest placed horse aged 15 and over in classes 6 – 9, 14, 16 – 18, 23 – 25, 30, 31, 33 37 – 40 at the Winter Area Festival Championships. The award may be collected from the Secretary’s Office after each unmounted presentation.


The following Special Award will be awarded automatically and does not require declaration at the point of entry.

BD OWNERS AWARD: British Dressage are providing an award to the owner of the winning horse in competitions 1 – 5, 10 – 13, 15, 19 – 22, 26 – 29, 32 & 34 – 36 at the Championships. This is awarded automatically and does not require pre-declaration and will be sent by British Dressage following the conclusion of the show.


GENERAL RULES AND REGULATIONS

Please read these General Rules and Regulations carefully. By entering, attending, or being in any way involved in any aspect of the show, you indicate that you accept and agree to comply with these General Rules and Regulations.

1. DEFINITIONS – In these General Rules and Regulations the term “Competitor” refers to every Entrant and Associated Person. The term “Entrant” refers to all exhibitors and competitors entering the Show. The term “Associated Person” refers to all owners, riders, handlers, drivers, grooms, and parents/guardians of competitors under the age of 16 associates and / or supporters of Entrants. The term “Show” refers to the event known as NAF Five Star Winter Dressage Championships incorporating the Petplan Equine Winter Area Festival Championships held at Hartpury College, Gloucestershire, GL19 3BE (the “Show Ground”). The term “Organiser” refers to British Dressage Ltd, Show Direct Ltd and all its employees, officers, representatives, volunteers and show officials. The term “Show Secretary” refers to Sara Green or such other person as may be appointed to perform such role. The term “Entry Form” and “Stable Form” refers to the forms to be completed by all Entrants.

2. COVID-19 POLICY – As a condition of entry to the Show all Competitors will comply with the current Covid-19 Policy for the Show which is available to download on www.bdchampionships.com and may be updated to conform to the current requirements. Should Competitors fail to conform to the Covid-19 Policy for the Show they may be asked to leave the Show Ground.

3. ASSOCIATED PERSONS PERMITTED ON THE SHOW GROUND – If Government restrictions are required to limit the number of Associated Persons attending the Show, the number of people allowed on site with each Competitor will be listed in the Covid-19 Policy which is available to download here

4. TRACK & TRACE – Contact information, if required by Track & Trace, will be obtained from the details provided via the on-line entry system. The billing contact for each entry will be responsible for providing contact details of all Associated Persons. Further details will be available in the Covid-19 Policy which is available to download here and may be updated to conform to the current requirements.

5. WITHDRAWALS – 21/06/21. Please see refunds of entry and stable fees (as set out in Clause 9) regarding refund entitlement.

6. PRACTICE JUDGING – No.

7. BRIDLE NUMBERS – Must be worn in accordance to British Dressage Rule 104

8. RE-PRESENTED CHEQUE – Any payment that must be re-presented to the bank for whatever reason will be subject to a £20 administration fee each time it is re-presented.

9. REFUNDS OF FEES – A refund of 75% of the entry fee and/or hook-up fee will be made on written cancellation by the Competitor prior to 10 June 2021, after which the entry and / or hook-up fee is non–refundable. A refund of 75% of the stable fee will be made on written cancellation by the Competitor prior to 10 June 2021, then 50% of the stable fee will be made on cancellations from the 10 June 2021 and prior to 21 June 2021, after which the stable fee is non–refundable. No refund for whatever reason will be applicable after these respective dates. Should the event be cancelled prior to 27 June, or part-concluded and then abandoned, due to Covid-19 then Competitors will receive a full refund on unused Entries and un-commenced Stables and Hook Ups minus the My Riding Life booking fee, STRIPE payment fees and an administration fee of £2.50 per horse per class.

10. MUSIC – All music must be on a CD which must be given to the Show Secretary by the Competitor at least half an hour before the start of the competition for which the music is required. The Competitor must ensure that all music is clearly marked with horse and rider names on the box containing the disc and also on the disc itself. It is strongly advised that a second copy should also be provided. The Organiser cannot be held responsible for the quality of the recording or any mishap that may occur with the music.

11. TIMETABLE – The Organiser reserves the right to cancel, add to, alter the arena in which any competition is scheduled to take place, or amend any competition times or alter the published timetable for the Show as they deem appropriate.

12. ARENA WALK EXERCISE – All arena walk exercise times are subject to amendment, times will be posted outside the Show Secretary’s Office and in the Stable Manager’s Office. Competitors may only participate in arena walk exercise on the day that the horse is competing. Only horses competing on Monday may use the Sunday walk exercise times for arena familiarisation. All horses must have a mounted rider, no horses may be led, whether with or without a mounted rider. Any restrictions on Arena Walk Exercise restrictions will be available in the Covid-19 Policy and may be updated to conform to current requirements.

13. COMPETITION WARM UP ARENAS – Designated warm up arenas for each competition arena will be available for exercise from 2.30pm on Sunday 27 June until 7.00pm, after which they are available from 6.40am each morning until 15 minutes after the completion of competition each day. From Monday onwards, only competitors within approximately 50 minutes of competing will be allowed to use the relevant warm up arenas during competition hours.

14. GENERAL EXERCISE ARENA – A designated General Exercise Arena will be available for use by Competitors. The number of Competitors in the General Exercise Arena at any one time will be limited and Competitors must book a 30-minute time slot in advance with the Steward on duty at the General Exercise Arena. The General Exercise arena will be open from 2.30pm – 7.00pm on Sunday 27 June and from 8.00am – 10.00am and 4.00pm – 7.00pm on 28 June – 2 July.

15. UNMOUNTED PRESENTATION – The top three competitors from each competition are required to attend the official unmounted presentation which will take place in the Presentation Marquee on the grass bank overlooking the Petplan Equine Arena. Presentation times are subject to amendment and competitors should present themselves to the Presentation Area at least 10 minutes prior to the scheduled presentation time.

16. PRIZES AND PRIZE MONEY – Prize money will be paid to the rider by BACS transfer after the show. Riders must confirm their bank details to the Show Secretary on collecting their sheets. Any prizes awarded must be collected from the Show Secretary prior to departure from the Show Ground. Prizes will not be forwarded after the Show.

17. SCORE SHEETS – Score sheets may be collected from the Secretary’s Office onsite. If you would like your score sheet to be posted, a £3.00 postage and administration fee will be charged, which must be paid at the Secretary’s Office prior to leaving the show ground. Sheets will be posted following the conclusion of the Show.

19. SHOW GROUND ACCESS – Horses may arrive on the Show Ground from 1.00pm on Sunday 27 June (NO early access) and the Show Ground Entrance will close at 11.00pm. Access to the Show Ground will be from 6.00am – 11.00pm on Show days. Outside these times the entrance will be opened for emergency access only. Horses requiring stabling must arrive on the Show Ground before 6.30pm. Should any competitor be delayed, they must contact the Stable Manager on 07779 788014. The Stable Managers Office will open at 6.00am and close at 7.00pm each day. Only horseboxes / trailers bringing horses and / or ponies intending to compete at the Show will be admitted to the Show Ground.

20. STABLING – There will be 180 Permanent Stables plus Temporary Barn Type Stables available on the showground at £38 per stable per night. Stables must be booked on-line. If you wish to increase the number of nights a horse is stabled once the initial stable booking is made, please contact the Show Secretary on 07790 309424 to amend your booking. Horses may not arrive before 1.00pm on 27 June and all horses must depart on Friday 2 July. Any damage caused to stables will be charged to the hirer. It is understood by competitors that horseboxes / trailers may be parked some distance from the stables and it is understood that it may not be possible to park competitors who have more than one horsebox/trailer at the Championship in the same location. Stable hire is from 4.00pm on day of arrival – 3.00pm on the day of departure (access from 1.00pm on Sunday 27 June). Occupants are advised that stables must be vacated on time so that stables may be sanitised before incoming horses are stabled. If stables are not vacated on time a fine of £80 per stable may be charged for late departure. All Competitors will pay a £20 per stable cash deposit upon arrival at the Stable Managers Office prior to being allocated stables. This deposit is fully refundable prior to departure and upon confirmation that the Competitors stable has been emptied of bedding and left tidy. If the stable is not emptied of bedding and left tidy the deposit will not be refunded. Stables will be sprayed with disinfectant between each occupancy. Face covering are strongly recommended when in close proximity to others and for any unmounted person in the stable area. Please refer to Covid-19 Policy which is available on www.bdchampionships.com for updates on face covering. All horses will be balloted between permanent and temporary stables and it will be subject to the nights that stables are required rather than the date that booking is received. Competitors should not request permanent stabling as it will not alter the allocation of stables. Competitors applying for stabling for a horse not actually entered at the Show will be allocated temporary stabling for the companion and the horse entered at the Show. Notification will not be sent out to those allocated temporary barn stables. Should space be available late stabling requests may be accepted after Thursday 10 June, however, they will be subject to an additional fee of £5 per stable per night. please contact the Show Secretary on 07790 309424 to amend your booking.

21. HORSES STABLED ON VEHICLES – Horses may not be stabled in horseboxes/trailers. A Competitor deemed by the Organiser to be stabling their horse/pony in such a way will be asked to leave the Show Ground. 

22. UNAUTHORISED USE OF STABLES – Any Competitor who enters or makes use of any stable that has not been officially reserved for their use will be liable for the daily charge for that stable (as set out in Clause 20) and an additional fine of £80 for that stable. 

23. STABLE BEDDING – All stables will be empty of bedding at the start of occupancy and no bedding whatsoever is provided with the hire of the stable. Natural Flake Shavings may be purchased from the Stable Managers Office at £7.50 per bale between 8.00am - 7.00pm. Straw is not permitted in stables.

24. HORSE FODDER – No horse fodder is available for purchase from the Stable Managers Office.

25. STORAGE OF BEDDING & FODDER – No hay, fodder or any flammable materials may be stored by the Competitor next to or underneath their horsebox and should be stored within their vehicles. Should the Competitor fail to comply with this requirement they may be asked to leave the Show Ground.

26. LITTER & HORSE WASTE - All litter and horse waste must be deposited in the correct rubbish bins and / or disposal locations. Anyone found leaving waste in the horsebox parking areas or any other incorrect location in the Show Ground is liable to a fine of £80 and may be asked to leave the Show Ground.

27. VACCINATION RECORD – All horses and ponies at the Show must have a current and valid record of vaccination against Equine Influenza that fully complies with British Dressage Rule 11, including those arriving on site before 1 July. All vaccination certificates will be checked at the Stable Managers Office when horses and ponies arrive at the Show. All horses and ponies must have been vaccinated within the past 6 months and 21 days before arriving at the Show and horses and ponies that have been recently vaccinated must have 6 clear days after the vaccination before arrival. Horses and ponies without a valid vaccination certificate on arrival will not be allowed to stay at the Show.

28. ELECTRICAL HOOK UP – An extremely limited number of 6amp electrical hook ups are available for horseboxes at a cost of £88 (inc. VAT) per hook-up for the period that the Competitor is staying in the Show Ground. Competitors must have a 16amp (blue socket) extension cable to connect to the socket supplied by the Organiser. It is the responsibility of the Competitor to ensure that all their cables and electrical equipment comply with current electrical regulations. Competitors must ensure that all electrical items in their horseboxes have a current PAT Certificate. Hook Up is not available for tents. Whilst the Organiser endeavour to supply the hook up booked the Organiser does not guarantee a constant supply throughout the Show, nor do we accept any responsibility for losses and / or discomfort occurring as a result of a break in the supply provided. Electrical connection must be booked online by 10 June 2021 and is on a strictly first come basis.

29. GENERATORS – Competitors may have generators in the horsebox parking areas providing they are moderately sized and do not reach a noise or emission level whereby, in the opinion of the Organiser, they become a nuisance. The Competitor is responsible to ensure that any generator complies with all health and safety regulations and users must adhere to the re-fuelling procedure set out in the Organiser’s document: - P 04 ‘Re-fuelling vehicles and Equipment 121116’ which is available on-site from the Stable Managers Office or in advance by request to the Organiser. All generators must be turned off between the hours of 11.00pm and 8.00am.

30. LIQUID PETROLEUM GAS (LPG) – Bottled gas may be used in conjunction with fitted living accommodation within horseboxes sited in the lorry park; however, it is the responsibility of the Competitor to ensure that all gas bottles are fitted correctly and that all appliances are fitted to the gas bottle through

approved pipework.

31. FIRE EXTINGUISHERS – All vehicles must be equipped with an appropriate fire extinguisher to conform to Local Authority Regulations.

32. VEHICLES – The Organisers reserve the right to remove any vehicle which is obstructing any access (even if locked and unattended) and the Organiser will not be liable for any injury, loss or damage occasioned by such removal.

33. COMPETITOR VEHICLE PASSES – Competitor horseboxes and horse trailers with horses / ponies competing at the Show will not be sent nor will require passes to enter the Show Ground and will be directed to the relevant parking area upon arrival at the equine entrance to the Show.

34. COMPETITOR ADMISSION PASSES – Competitors do not require admission passes to access the Show Ground.

35. CAR ACCESS TO THE SHOW GROUND – Competitors do not require car passes and all cars will be parked in the designated car park in the Show Ground. Except for cars towing horse trailers with horses competing at the Show, which will be issued with passes from the Stable Manager when they arrive on site, cars will not be permitted in the stable area or horsebox parking area. Please refer to Clause 3 of these General Rules regarding entry for Associated Persons and the separate Covid-19 Policy which is available here

36. MOTORBIKES, SCOOTERS, BICYCLES AND QUAD BIKES – Except for authorised official vehicles used by the Organiser, motorbikes, scooters, bicycles or quad bikes are not permitted at the Show. Disability vehicles are permitted.

37. SMOKING – There is a NO SMOKING policy which covers all areas of the Show Ground with the exception of the designated smoking areas.

38. BARBECUES – No barbecues are permitted in the Show Ground.

39. DOGS – Are permitted in the Show Ground but must be kept under control and on a lead at all times. If in the opinion of the Organiser, any person fails to control their dog/s they may be asked to leave the Show Ground.

40. PUBLIC TOILETS – Limited public toilets will be open in the Show Ground 24 hours a day.

41. PUBLIC SHOWERS – No public showers are available in the Show Ground.

42. OBJECTIONS – Any objections should be made in writing in accordance to British Dressage Rule 125.

43. OFFICIAL PHOTOGRAPHS AND FILM FOOTAGE – It is understood and agreed by any Competitor attending the Show that permission is granted to the Organiser for any photographs and / or film footage taken at the Show by an official photographer or film company to be used by the Organiser for security, promotional, and/or live streaming purposes, furthermore the Competitor agrees that this permission is without payment.

44. FARRIER & VETERINARY SURGEON – The services of a farrier and vet are only available “On Call”. Competitors are responsible for any costs incurred in making such call outs. If required, these can be contacted via the Stable Manager’s Office.

45. REFRESHMENTS – Available from the Arena Restaurant from 4.00pm – 9.00pm on Sunday 27 June and open from 7.00am on competition days.

46. ACCOMMODATION – For accommodation in the local area visit www.bdchampionships.com. No accommodation is available at Hartpury University.

47. COMPETITOR HORSEBOXES, CARAVANS & TENTS – While a Competitor has a horse/s stabled on site at night the Competitor may stay overnight on the Show Ground in a horsebox, caravan or tent.

48. PUBLIC CARAVANS & CAMPING – No public or spectators are permitted to stay on the Show Ground.

49. ACCESS TO MAIN CAMPUS – There is currently no access to the Hartpury University main campus for pedestrians, parking or accommodation. Any update will be published in the Covid-19 Policy which is available to view on www.bdchampionships.com

50. LOST PROPERTY – All lost property during the show will be located at the Secretary’s Office. Any inquiries regarding lost property following the conclusion of the Show should be made to Georgina Creamer at georgina@showdirect.co.uk.

51. RESPONSIBILITY – The Organiser shall not under any circumstances be responsible for any loss, injury, illness or damage to (whether or not foreseeable and howsoever caused), or any theft from, any Competitor, any horse or other animal, any vehicle, or any other property whatsoever in the Show Ground, provided that nothing shall exclude or limit the Organiser’s liability for the death of or personal injury to any person caused by its negligence or that of its employees or agents. Any items brought into the Show Ground or left in vehicles or tack lockers (whether locked or not) are at the Competitor’s own risk. Competitors shall take such steps as are necessary to secure their property whilst in the Show Ground. Competitors are responsible for ensuring that their horses are in good health and each Competitor shall take all necessary steps to prevent the contracting or spread of any disease or illness at the Show. Competitors will be responsible for reimbursing the Organiser for all liabilities, costs, expenses, damages and losses (including but not limited to any direct, indirect or resulting losses, loss of profit, loss of reputation and all interest, penalties and legal costs and all other reasonable professional costs and expenses) suffered or incurred by the Organiser arising out of or in connection with any breach of these Rules and Regulations by the Competitor or anyone under the control of the Competitor. All Children under the age of 17 must be accompanied by a responsible adult and may not be left at the Show unaccompanied. Each Entrant will be considered responsible in all respects for the acts and/or failures to act of their Associated Persons. The Entrant shall be responsible for the consequences of any infringement by its Associated Persons of these Rules and Regulations. Competitors are personally responsible for ensuring that they take all necessary measures with regards to health and safety. Upon any entry to a competition at the Show each Competitor acknowledges that he/she is taking part in a risk sport and represents that he/she is a competent rider at the level of competition in which he/she has entered. Competitors who suffer a fall or any other injury whilst on in the Show Ground must report the fall / injury to the Show Secretary. Competitors shall comply with the rules of Hartpury College and any reasonable instructions given to them by the Organisers.

52. INSURANCE – Competitors are personally responsible for damage to: any buildings, land, equipment, or other property in the Show Ground; or to any third persons caused by the Competitor, their employees, their agents, or their horses / ponies. It is strongly advised that Competitors have in force third-party insurance providing full coverage for participation in and attendance at the Show.

53. ADDITIONAL FEES – The Organiser reserves the right to charge an additional fee to Competitors should extraordinary circumstances arise which require procedures to be implemented that would not normally be anticipated or expected, but were considered by the Organiser to be in the best interests for the wellbeing of either Competitors, horses and animals, general public and / or the successful running of the Championships. Any additional fee will be agreed with the consent of the governing body.

54. REMOVAL FROM THE SHOW – The Organiser retains at its absolute discretion the right to decline or exclude or remove any person or animal from the Show or future shows or return any entry fee without being required to assign any reason or being liable to the Competitor for any compensation.

55. OTHER TERMS – If any court declares that any provision of these Rules and Regulations is invalid, unlawful or unenforceable to any extent, the provision will, to that extent, be severed from the remaining provisions, which will continue to be valid to the fullest extent permitted by law. These Rules and Regulations are governed by English law. The Organiser and Competitor both agree to submit to the exclusive jurisdiction of the English Courts.
